"Datarooms are safe but require extra steps and time to be effective. On the other hand, cloud-based file sharing applications are easy to use, but there can be security and uptime issues," said Peter Weger, CEO, Brainloop. "One of the greatest lessons we have learned over the last ten years is that asking users to deviate from their normal workflows encourages them to cut corners, compromising compliance and inviting breaches."

The Secure Connector for Microsoft Outlook is designed to integrate Brainloop's proven Dynamic Security Platform with existing, proficient tools and established workflows. Because of its seamless integration into Microsoft Outlook, the Secure Connector requires the same traditional attachment process that most users are already familiar with, and upon receipt, the recipient simply clicks on a link to the file which is then delivered via encrypted transmission.

"For more than ten years our principle foundation has been enabling people to collaborate extremely securely. Our Brainloop Secure Connector for Microsoft Outlook simply takes this concept to the next level. It hides the security platform behind the tools people are used to working with. It really changes the game from secure storage to dynamic collaboration," said Dr. Claudia Böttcher, director of product management, Brainloop. "While existing data rooms are good at storing information, we have always had the need to work both inside and outside of the company, and to make it easy to do so."

While designed to be nearly undetectable, the Secure Connector also features options for more sophisticated control over security level, storage location of attachments, recipient groups, approvals and even whether a document is viewable or downloadable. The system also allows users to send encrypted emails that are only visible to sender and recipient, by simply clicking Brainloop's red ball logo within the Outlook interface.

The Brainloop Secure Connector for Microsoft Outlook is a Security as a Service (SaaS) platform requiring no complex installation. The solution can be centrally managed by the IT department without allowing the department itself access to sensitive information. Brainloop is also restricted from accessing any of the information protected by the connector.

About Brainloop

Brainloop, The Secure Enterprise Information Company, is a market leading provider of SaaS solutions that enable our customers to easily manage and collaborate on confidential documents and information inside and even outside their IT environments, with complete security. Our enterprise customers, including more than 50 percent of the German DAX-30, count on our software's regulatory and corporate compliance and process capabilities as well as its complete security including full encryption, audit trail, two-factor authentication and provider shielding, all with a convenient and easy-to-use interface.

Founded in 2001 Brainloop is headquartered in Munich with subsidiaries in Vienna, Zurich and Boston.

Brainloop Survey Underlines How Ease of Use Increases Information Security

Survey respondents said that document security is very important (84%) or important (15%) to them. Only 1% of those surveyed considered that document security was not important.

Asked whether their company has policies in place to govern how people handle confidential documents, 70% of the respondents say it does. However,as many as 30% say they have not established any policies. Given that 99% of the companies consider document security as very important or important, there is a need for many companies to do more in this field.

For 67% of the respondents, the company would suffer severe (49%) or disastrous (18%) consequences from the breach of confidential documents. This highlights the immediate threat to a business from the loss of internal expertise. This roughly corresponds with the number of organizations that have implemented corporate policies (70%). In contrast, 29% believe the consequences of losing confidential documents would be moderate and just 4% as negligible.

Asked about the features they require in software solutions to protect confidential documents, most companies (79%) say that ease of use is decisive. In addition, 63% of the respondents say that it is important to be able to implement document security rules within the solution and 61% cite a high level of security with the most stringent security standards.

These survey results reflect Brainloop's experience with its customers. "Over the last few years, our customers’ expectations with regard to user friendliness have increased significantly," says Markus Seyfried, CTO at Brainloop. "Today, an intuitive interface is a prerequisite. That’s why we place the highest importance on the usability of our solution and use heuristic evaluation methods during our development process. The result is a positive effect on user acceptance levels and - as a direct consequence - on the protection of confidential content."
The current release, Version 8.20, of the Brainloop Secure Dataroom takes the ease of use line even further. Brainloop has simplified the interface, harmonized the color palette and made it easier for users to navigate directly to the documents they need. The company has also extended the solution’s functionality for naming conventions, automatic folder indexing, differentiated activity reports, and Q&A processes. The latter are now even easier to use as they can be set up with as many steps and permissions as required.
The Brainloop Secure Dataroom is a solution for secure collaboration on confidential documents that comprehensively meets the market’s requirements. Document and information compliance management enables companies to implement their policies and processes within the solution. It was designed to meet the most stringent security standards, even when users work with third parties beyond the firewall. This differentiates the Brainloop solution from other products on the market.

Paul Trevor, CEO of DataSpace, comments: "The Brainloop Secure Dataroom, a high-security SaaS solution, is the ideal complement to our IT security and document management solutions. We're very proud of the partnership with Brainloop in the UK and are looking forward to being able to provide our customers with its web-based solution, which enables secure and traceable collaboration on confidential documents - both within and beyond the company firewall. Brainloop's many references, including Microsoft, BMW, Deutsche Telekom and others, highlight the importance of a secure data room environment and all have something in common: they take document compliance management seriously and make it a top priority."

Peter Weger, CEO of Brainloop, is also pleased with the DataSpace partnership.
Board Meeting Organizers to Benefit from Brainloop Version 8.10

Munich, Germany. March 28th, 2012 - Brainloop today announced the release of Version 8.10 of the...

With the new calendar function, board meeting dates are listed in chronological order in the data room. All the information associated with a particular meeting, such as the invitation, documents to be discussed, and the post-meeting report, are grouped together under the relevant meeting date. This makes it quicker and easier for meeting participants to navigate directly to them rather than trying to find them in various subfolders.
"Our solution provides excellent support to board meeting organizers, especially during the preparation phase which can be very busy," says Peter Weger, CEO of Brainloop. "For example, there are often last-minute changes to parts of the meeting documents, and it's often the meeting organizer who has to update them. He or she is responsible for making sure the content is correct and for delivering all the documents to the right people at a predetermined date and time. The fact that meeting organizers can now assign documents to a specific meeting date and easily navigate within the document collection makes the solution more flexible for them - right up to the date they send the documents out."
Alongside the user interface enhancements, reduced complexity and faster navigation to the required content, an additional highlight of the new version is the full-text search function for encrypted documents. The document index is also encrypted, maintaining operator shielding and minimizing the risk of anyone viewing text fragments from confidential content.
With support for iPads and smartphones, Brainloop is also responding to requests from many customers wanting to work with the data room flexibly when they are traveling. As before, the focus is on maximum security while giving users convenient access to confidential business documents.
