New Naming Convention Feature Increases Efficiency For Users
Friday, 18. March 2011
Munich, Germany. 18 March 2011 - With the introduction of a new naming convention, users will soon be able to enjoy an even more secure and structured way of working with Brainloop´s document compliance solution. Defining a fixed file name syntax for specific types of document - such as proposals, contracts, reports and marketing materials - that is made up of predefined parts of a name makes it much easier for users to find documents that are thematically related to one another. This helps increase collaborative efficiency. The unified file naming feature is particularly useful for companies in industries like pharmaceuticals, banking and real estate.
As soon as a user uploads a file into Brainloop's document compliance solution, a window opens with specific naming instructions. These might include a consistent way of writing dates or suggestions of categories such as "contract" or "event" to assist the user in assigning the document to the right group. This method makes it easy to define a nomenclature to establish an agreed naming convention, then to sort documents by certain contract numbers or content types that comply with the nomenclature. The naming convention, which is freely configurable, is recommended in situations where multiple project team members tend to name, upload and store documents as they see fit, making them hard to find.
"Our customers appreciate this naming convention feature as it assists with clearer reporting to the regulatory authorities"explains Brainloop's Thomas Drechsel, who presents the solution to customers. "And in the real estate area, the naming convention makes it easier to create electronic property folders to store document collections made up of files coming from several different sources. Without a structured way of naming them, these files are virtually impossible to find," he adds.
