Brainloop launches Secure XChange as comprehensive solution for sending email attachments securely
Tuesday, 23. June 2009
Boston, USA, June 23, 2009 - Brainloop today announced the launch of its new product Secure XChange, setting a new standard for an easy yet secure way to send email attachments. Users can choose whether to email their documents in the usual way or via a secure data room. Ease of use is the solution's watchword, as users can send protected documents with their usual email program, such as Outlook. The email, together with its attachments, is then saved to the data room.
Secure XChange combines the user's familiar email environment with the key security functions of the data room. These include the attribution of company-defined security categories; the addition of a personalized watermark to a document; and read-only access to information.
Secure XChange: How it Works
The sender composes an email in the usual way and attaches the required documents; even very large file sizes are possible. The user then hits the "Send" button and next, a dialog box opens and asks whether the user wants to send the document by email in the normal way or via a secure data room. This avoids the risk of a user forgetting to send a document securely. The addressees of the message then receive an email in which the attachments have been replaced by links to the data room. They can click on the link and login with their password and PIN to access the documents.
If necessary, the links can be revoked in the data room after the message has been sent. This disables access to the document and is a useful feature if a user has inadvertently sent the email to the wrong person. To ensure the highest levels of security, the sender can stipulate that all the recipients of the message must be data room users. This will activate all of the verification mechanisms in the authentication process. The sender can also request a delivery receipt and set a timeframe for recipients to access and download the document. The maximum time available is 60 days, after which the document is automatically deleted from the secure data room.
Comments Peter Weger, CEO of Brainloop: "We've developed Secure XChange based on requests from customers who wanted a way to use Brainloop Secure Dataroom security when they communicate with external users who are not data room members. The familiar email environment makes it very easy for users to define the appropriate security level for confidential documents in each email they send."
