Banks attest to confidence in Brainloop's document compliance management solutions


Boston, September 1, 2009 - Today more than ever, the banking sector has stringent requirements for security and traceability in the handling of confidential documents. With the constant increase in data theft and misuse, many banks - such as Germany's Postbank and the German Savings Bank Association (DSGV) - are switching to the Brainloop Secure Dataroom to share documents when they work on confidential projects. The web-based document compliance management (DCM) solution protects sensitive content while recording every action on a document, such as editing, sending and filing. The complete, tamper-proof audit trail tracks the document's lifecycle from creation to archiving or deletion. This meets compliance requirements governing document management.

The DSGV has been quick to act to mitigate the risk of confidential project data being leaked to the public domain or falling into a competitor's hands. Today, about 50 DSGV staff and external partners collaborate on joint projects in the Brainloop Secure Dataroom. This gives participants secure access to any type of sensitive information, which is stored in a virtual vault in the same way paper documents are stored in a safe. The names of all authorized team members are stored on a secure server along with the permissions granted to each person. These can easily be set by the data room manager - who may be the project manager - and tailored to each person's role. For the future, DSGV is looking at sharing statistical data this way too, and is currently building a permanent new application for multiple customers who send their data from outside. Every stage of the information sharing process will be documented to ensure the transparency and traceability of all communications. Postbank also uses the Brainloop Secure Dataroom because of its security aspects. However, a further reason is that it facilitates the extensive research and translation of the bank's annual reports, which involve several external agencies. "We used to work on several versions of a quarterly or annual report at the same time - but this is thankfully now a thing of the past," says Lars Stoy, Postbank's investor relations manager. "The solution's ease of use is a big advantage, especially as we only work with it at the end of each quarter. And the audit trail of all communications ensures that we handle sensitive data in accordance with the relevant compliance requirements."
