Fujitsu Siemens Computers selects Brainloop Secure Dataroom for high-security document distribution to executive management
Brainloop AG, the leading provider of software solutions for sharing strictly confidential enterprise information in a highly-secure and documented environment, today announced that Fujitsu Siemens Computers has deployed the system for its boardroom and the executive management committee. All sensitive documents used for board meetings, including financial figures, personnel and revenue plans, budgets etc, are managed as document collections. Board members download the meeting documents, protected with the Microsoft Rights Management System, when and where they need them. When selecting the solution, Fujitsu Siemens Computers placed particular importance on protection from unauthorized distribution as well as on the end-to-end audit trail that keeps record of every change to the document. This enables the company to comply with corporate governance regulations that require the complete documentation of all information flows.
Klaus Richter, who heads up IT infrastructure and support at Fujitsu Siemens Computers, explains: "We are so satisfied with the solution that we plan to spread out the deployment at FSC and keep our eyes open for further potential application areas."
"A pilot project with the Microsoft Rights Management Service (RMS) to safeguard sensitive documents against unauthorized distribution showed us that RMS was the right basic technology," added Klaus Richter. "It was the combination of RMS with the highly secure Brainloop Secure Dataroom that fulfilled our requirements in terms of ease of use and productivity." The solution's users particularly appreciate the efficiency where they can access the complete documentation of a nine-hour board meeting as a single electronic board book.
Microsoft RMS encrypts office documents to prevent unauthorized forwarding, printing, editing and copying. The specific access permissions
for authorized users are replicated to their desktops in accordance with the policy for each RMS-protected document defined in the data room. This permission expires after the period specified by the relevant corporate policy. As an additional security precaution, access to the system is protected by strong two-factor authentication.
