- Strong Two-factor Authentication
Access to the virtual data room is through a password-based authentication system. Additionally, two-factor authentication is achieved through a unique password sent to an authorized user's mobile phone. The password is valid for just that user and for only that session. Existing authentication infrastructure such as single sign-on or smartcards can be integrated into the virtual data room as well.
- Strong Document Encryption
Strong 256-bit encryption on the server provides powerful document encryption and prevents unauthorized access, including access by unauthorized IT personnel. All data uploaded to the data room server and downloaded from the server and displayed on an authorized user's browser is encrypted with 128-bit SSL.
- Highest Encryption of Stored Data
Message and document encryption is achieved at multiple levels, with a cascaded key management to prevent IT personnel with system administrator privileges from accessing confidential documents stored in the virtual data room.
- Fine-grained Access Control
A granular, yet flexible access rights model allows for either a user-based or a group-based definition of permissions for all users. A rich inventory of access rights includes read-only document access, where all source documents are converted automatically to PDF for read-only access and layout control.
- Tamper-Proof Audit Trail
All actions are recorded in a tamper-proof audit trail, providing a completely transparent and fully documented information flow. The data reports may be formatted in a variety of different ways.
- Watermarking / Stamping
In order to prevent camera-based attacks, each page that the authorized user views is stamped with a dynamically embedded watermark. Although the watermark displays the name of the user who is accessing the document, the watermark is in the background of each page and it does not interfere with reading the page content. The text and the layout of the watermark can be easily customized.
- RMS Connector
The Dataroom employs Microsoft Rights Management Service (RMS) so that Microsoft Office documents can be protected even after they have been sent to users' desktops. RMS can control the opening, forwarding, editing, printing, and copying of Office documents. The specific rights are administered in the Brainloop application and the Dataroom generates the RMS attributes automatically. The assigned rights stay active even after the user has downloaded the document.
